Planning & Event Roles
1. Gala Planning Committee
Helps shape the event vision and guest experience
Provides connections to sponsors, donors, or those who might be interested in attending
Meets periodically leading up to the event
Receives a complimentary table to fill with up to 8 people
Time Commitment: 1–2 meetings per month for 4 months
2. Sponsorship & Partner Outreach
Identifies and solicits corporate sponsors
Follows up on sponsor benefits (logos, ads, tickets)
Collects logos, sponsorship info for programs and marketing materials
Time Commitment: 1–2 meetings per month for 4 months
4. Registration & Guest Management
Prior to event, helps prepare guest envelopes with name badges, giving info, and Impact Report
Can assist with check-in software the night of the event along with a UCSS Staff Member
Welcomes guests warmly
Manages registration and leads guests to table
Distributes welcome package
Sets welcoming tone for the evening
Time Commitment: one day prior for 1-3 hours, one hour meeting one month before event, 6-8 hours the day of the event
5. Program Support
Reviews run-of-show
Welcomes Speakers and hosts their table
Helps with speaker times and transitions
Coordinates with emcee, AV team, and entertainment
Time Commitment: 1–2 meetings prior to event, plus one hour before event
6. Volunteer Coordinator
Recruits, schedules, and trains day-of volunteers (photographer, registration, speakers)
Serves as point person for volunteer questions
Time Commitment: 1–2 meetings prior to event, plus one hour before event
7. Ambassador / Table Captain
Mingles with guests to share the nonprofit’s story
Helps connect donors to staff or leadership
Leads guests in ways to give or get involved
Writes hand written notes thanking guests who attended at their table
Reinforces relationships after the event
Time Commitment: 1–2 meetings prior to event, plus one hour before event
8. Décor & Setup / Breakdown Crew
Assists with table décor, signage, and materials
Helps pack up and load items after the event
Time Commitment: 1 meeting prior to event, plus two hours before event/ one hour after
9. Shop Assistant
Supports the Shop UCSS Pop-Up Store at the event
Takes Credit Card/cash payments
Helps set up and break down the pop-up store
Time Commitment: 1 meeting prior to event, plus two hours before event/ one hour after
